USES OF STORE KEEPING DOCUMENTS

1. Stock Ledger: The stock ledger serves as a central record of all inventory transactions within a store or warehouse.

Uses of  a stock ledger

  1. It tracks the inflow and outflow of stock items, including purchases, sales, returns, and adjustments.
  2. The ledger provides a detailed history of stock movements, aiding in inventory management, financial reporting, and decision-making.

2. Uses of a Materials Requisition Note

  1. A materials requisition note is used to request the transfer of materials from the store to various departments or production units within an organization.
  2. It specifies the type and quantity of materials needed, along with the purpose of the request.
  3. It helps in controlling the release of inventory, ensuring that materials are distributed efficiently and used for their intended purposes.

3. Bin Card: Bin cards are maintained for each stock item stored in specific locations (bins) within a warehouse or store.

Uses of bin card

 Bin cards provide real-time visibility into stock levels at individual locations, facilitating accurate stock replenishment, and preventing stockouts or overstocking.

4. Uses of Stock Transfer Note

  1. Stock transfer notes are used to document the movement of stock items between different locations or departments within an organization.
  2. They specify the items being transferred, along with their quantities, source, and destination locations.
  3. Stock transfer notes help in maintaining accurate inventory records, tracking stock movements, and ensuring proper accounting for inter-store transfers.

5. Goods Received Note (GRN): A goods received note is issued upon the receipt of goods from suppliers.

Uses of Goods Received Note(GRN)

  1. It acknowledges the delivery of the ordered items, recording details such as the supplier name, date of receipt, item descriptions, quantities received, and any discrepancies or damages noted.
  2. GRNs serve as a confirmation of receipt, enabling accurate reconciliation of supplier invoices and inventory records.

6. Uses of Stock Valuation Report

  1. Stock valuation reports provide an overview of the value of inventory held by an organization at a specific point in time.
  2. They summarize the total quantity and value of each stock item, as well as the overall inventory value.
  3. Stock valuation reports are essential for financial reporting, budgeting, and decision-making related to inventory management and investment.
