MEMORANDUM

A memorandum, commonly referred to as a memo, is a brief written message or document used within an organization for internal communication. It is typically used to convey information, provide instructions, make announcements, or request actions from colleagues or employees.

Purposes of Memorandum

1.To inform employees about updates, news, or events within the organization.

  1. To provide clear directions on tasks, procedures, or policies.
  2. To formally announce changes, promotions, or important events.
  3. To ask for actions, feedback, or responses from recipients.

Layout of a Memorandum

I.) Header: Includes the word "MEMORANDUM" centered at the top of the page.

II.) To: Names of recipients (often with job titles) and their departments.

III.) From: Sender's name and job title.

III.) Date: Date of when the memo is issued.

IV.) Subject: Brief and clear description of the memo's purpose.

V.) Body: Main content, which can be divided into sections if necessary.

VI.) Closing: Usually ends with a call to action or a summary of key points.

VII.) Attachments: List of any accompanying documents.

Special Features of Memorandum

- Brevity: Memos are concise and to the point, typically no longer than one page.

- Internal Focus: Primarily used for communication within an organization.

- Formality: Generally, less formal than letters but more formal than emails.

- Directive: Often includes actionable items or requests for response.

- Record Keeping: Serve as a written record of communication and decisions.

Addressing Letters and Envelopes

Addressing Personal Letters:

  1. Address: The recipient's address is usually written at the top right corner of the letter.
  2. Date: Below the address, write the date on which the letter is being sent.
  3. Salutation: Begin the letter with a greeting such as "Dear [Recipient's Name],".
  4. Body: The main content of the letter.
  5. Closing: End with a closing phrase like "Yours sincerely," or "Best regards," followed by the sender's name.
  6. Signature: Sign the letter below the closing.

Envelopes:

- Recipient's Address: Write the recipient's name and address centered on the front of the envelope.

- Sender's Address: Optionally, include the sender's address on the top left corner of the envelope (return address).

- Postage: Affix a stamp in the top right corner (if required).
