NOTE

MEMORANDUM

A memorandum, often abbreviated as "memo," is a written message or communication used within an organization to convey information, policies, procedures, announcements, or directives. It is typically shorter and more informal than a formal letter and is commonly used for internal communication purposes.

Features of a memorandum

The features of a memorandum include:

  1. Header: Typically includes the word "MEMORANDUM" centered at the top of the page.
  2. Date: The date when the memo is issued or circulated.
  3. To: The intended recipients or recipients' positions (e.g., "To: All Employees").
  4. From: The name and position of the sender.
  5. Subject: A brief, specific title that summarizes the content of the memo.
  6. Message: The body of the memo, which provides detailed information, instructions, or announcements.
  7. Signature: Optional, depending on organizational policy. Some memos may include the sender's initials or name typed at the end.

Format

The format of a memorandum typically follows a specific structure:

- Header: MEMORANDUM centered at the top of the page.

- Date: Below the header, aligned left.

- To: Recipients' information, aligned left.

- From: Sender's information, aligned left.

- Subject: Brief and specific, aligned left.

- Message Body: Clear and concise paragraphs explaining the purpose or information of the memo.

- Closing: Optional, but may include sender's initials or name.

Procedure of a Memorandum

The procedure for writing and issuing a memorandum generally involves these steps:

  1. Identify the Purpose: Determine the reason for writing the memo (e.g., to inform, request action, provide updates).
  2. Audience: Identify the recipients or intended readers of the memo (e.g., specific department, all staff).
  3. Drafting: Write the memo using clear, direct language. Include necessary details and avoid unnecessary jargon.
  4. Review: Proofread the memo for clarity, accuracy, and completeness. Check grammar, spelling, and formatting.
  5. Distribution: Send or circulate the memo to the intended recipients using the organization's communication channels (e.g., email, intranet).
  6. Follow-up: Monitor responses or actions related to the memo if necessary. Follow up as needed to ensure understanding and compliance.
