TOPIC: WORDPROCESSING II

CONTENT

TO OPEN AN EXISTING DOCUMENT: Click file menu, Click open, Click the down arrow in the” look in box” and select the drive letter, click the icon for the file you want to retrieve, Click open.

CHARACTER FORMATTING: Characters are letters, punctuation marks, numbers and symbols that you type as text. Character formatting determines how characters appear on the screen and in print. Word uses preset or default formats to determine the size, font and other character formatting of the text you type. You can change the formatting by choosing new formats before you type, or by selecting text and applying the new formats after you have typed.

STEPS

  1. Select Text
  2. Click Format Menu
  3. Click Font
  4. Select Option for the following Font Size, Underline, Color and Effect
  5. Click OK.

Example, if in step 4, you want to type N from effect, click the check box for strike through

PARAGRAPH FORMATTING: When you create a document, Word automatically applies default formats. Even if you only type and print the document, you produce a document that is readable and presentable.

The default formats are:

Paragraph, left aligned, single spaced

Tab stops: every 0.5 inch; left aligned

Margins: 1inch top and bottom; 1.25 inches left and right

The margins are page set up option. They can be changed for the whole document or for a selected part of the document. The other formats are paragraph formats

STEPS

  1. Select the paragraph you want to format
  2. Click formats menu
  3. Click paragraph
  4. in the box, select the spacing you want
  5. click OK.

TO PREVIEW YOUR DOCUMENT

  1. Click file menu
  2. Click print preview
  3. Click close when you are through

PRINTING A DOCUMENT

  1. Make sure the printer is on line
  2. Make sure the document is opened
  3. Click file menu
  4. Click print
  5. Click the option button for current page or the one for all pages.

If you want to print selected pages, click pages box and type the page numbers separated by a command. Type hypen(-) between two page numbers to indicate range. Click collate check box if you want Word to print a complete copy of the document or pages before printing the next.

  1. Click OK

PROTECTING DOCUMENT FROM CHANGES: Word provides several methods of preventing accidental changes to important files. The read only option keeps you from accidentally making changes to a document that you have opened. If you make changes to it and try to save it, Word displays a message that the file is read only and then displays a save as dialog box for you to save the document. A protection password prevents others from viewing or making changes to your document without password. You can remove the password if you no longer need it.

STEPS TO ADD PASSWORD

  1. click file menu
  2. click save as
  3. type a file name, if need be, select the source
  4. click options
  5. type the password in the password text box
  6. Retype the password and click ok.

TO OPEN A DOCUMENT SAVED WITH PASSWORD

  1. Click file menu
  2. click open
  3. click the icon for the document saved with a password
  4. click open
  5. Word asks for the password
  6. Type the password and click OK.

TO DELETE A PASSWORD

  1. Make sure the document is opened
  2. click file menu
  3. click save as
  4. click option
  5. Delete the password and click ok.

INSERTING PAGE NUMBER: when you use a page number on insert menu, word automatically insets page number on every page. Whenever you insert a new page. Word automatically updates the numbering.

STEPS

  1. Click insert menu
  2. click page number
  3. select an option from position box: top, bottom
  4. select an option from alignment: left , right
  5. if you want a number other than 1,2,3, click format button and select the number format. Select  an     option from page numbering to indicate where you want the numbering to start .
  1.   Click OK.

Evaluation

  1. Write the steps to create and delete a password.
  2. Write the steps involved in inserting page number to document.
