ADVANTAGES OF USING WORD PROCESSING PACKAGES
- The use of computer allows for neat jobs.
- It makes typing pleasurable.
- There is room for corrections such that does not leave any scar on the document.
- With the use of computer, text could be formatted to suit the user’s taste.
- It allows Mail Merging operation thereby relieving the secretary of the problem of having to type a particular document a number of times.
- It allows the production of as many copies of the document as the owner will need and each appears as the original.
- It has the capability of storing text for as long as it will be needed.
- Document can be enhanced with graphics (pictures).
Starting Microsoft word: Click start button on the taskbar, Point to programs, Click Microsoft word. Alternatively if Microsoft word icon is displayed on the desktop click it to open it. ON STARTING Word, Word window is displayed which is like any other window. The cursor marks the position of text. Then you type.
Some operations in Ms Word:
- Saving, creating and opening documents: Whenever you start Word, the insertion will always be displaced and Word names the document on the title bar. You can save the document onto your diskette to avoid loss of information in the event of power failure.
- To save a document: Click file menu, click Save or Save As, Click the down arrow on the save in box and select the drive letter, type a file name in the ‘file name text box’, Click save.
iii.To create a new document: Click file menu, Click new, type the content of the new document.
- Closing a document: Click file menu, Click exit or Click X for the application window. For each method you choose, Word asks you whether to update the changes made. Click yes.
- To edit document: You can move, copy or delete texts. Before you can carry out any of these actions, you have to select the text.
- To select text: Position the insertion point at the beginning of the line you want to select and drag to the end of the text you want to select. If you want to select a whole line at a time, move the mouse pointer to the beginning of the line until it changes to the right, then click to select the line. If you want to select more than one line at the same time, select the first line and drag down to select the other lines. If you want to select a word double-click it. If it is a paragraph you want to select triple-click it.
vii. To move or copy text: Select the text you want to copy or move, Click edit menu, Click copy or cut, Move the insertion point to where you want the text to appear, Click edit menu, click paste.
viii. To delete text: select the text, click edit menu, click delete OR select the text, press delete key, press Y to confirm the text you want to delete.
- Undo and redo actions: If you do not like the result of a command or you accidentally delete some text you can undo the command. Similarly, if you want to cancel the undo you can use redo command. Some action, such as saving a document can be reversed. In this case undo changes to cannot be undo.
To undo a command or edit action: click file menu, click undo.
To redo a command or action: click edit menu, click redo.
